The Commonwealth Heritage Forum is seeking a highly organised and reliable Team Administrative Assistant to provide essential administrative and organisational support across our consultant team.
This is a part-time, remote role supporting a wide range of activity across projects, training, communications, meetings and committee coordination. We are looking for someone who is detail-oriented, responsive and confident managing multiple tasks in a professional and efficient way.
About the Commonwealth Heritage Forum
The Commonwealth Heritage Forum is a charitable organisation committed to the conservation of the Commonwealth’s rich and diverse built heritage. Through training, advocacy and practical projects, CHF works with local communities and partner organisations to strengthen heritage skills, build local capacity and support the long-term protection of cultural legacy.
A major part of this work is delivered through the Queen Elizabeth II Platinum Jubilee Commonwealth Heritage Skills Training Programme, a multi-year initiative funded by The Vinehill Trust to expand heritage conservation and craft skills across Commonwealth countries.
About the role
The Team Administrative Assistant will support the day-to-day running of administrative processes across CHF’s consultant team, helping to ensure that systems, records, meetings, communications and logistics are managed efficiently and accurately.
The role includes administrative support for projects, training activity, communications, reporting and committee coordination. We are looking for someone who can work independently in a remote setting, stay on top of multiple priorities, and help keep workstreams organised and moving forward.
Key responsibilities
- Provide day-to-day administrative support across CHF’s consultant team and wider activities
- Maintain accurate digital records, filing systems, spreadsheets, trackers and correspondence
- Monitor shared inboxes and communications where required, ensuring timely responses and follow-up
- Support the preparation and circulation of contracts, forms, schedules, briefing papers and other documentation
- Coordinate diaries, invitations, agendas, papers and follow-up actions for meetings, including those involving the CHF Board and International Advisory Committee
- Take and circulate notes or action points from meetings where required
- Support the administration of training programmes, bursaries, internships, workshops and related activities
- Assist with participant correspondence, scheduling and logistical coordination
- Help organise travel, accommodation, visas and other arrangements for programme-related activity where needed
- Draft and format routine correspondence, updates and administrative communications
- Support the preparation of newsletters, reports, briefing materials and website content
- Assist with collecting, organising and maintaining monitoring information from trainees, partners and projects
- Provide general administrative support to the wider consultant team as required
Person specification
Essential
- Must be resident in the UK and legally able to work as an independent contractor on a part-time basis
- Minimum of five years’ experience in an administrative, coordination or professional support role
- Strong administrative and organisational skills, with excellent attention to detail
- Proven ability to manage multiple tasks, deadlines and competing priorities effectively
- Excellent written and verbal communication skills
- Strong IT skills, including confidence using Microsoft Office and cloud-based collaboration tools such as Google Drive, Dropbox and Zoom
- Experience of organising meetings, maintaining records, and managing administrative processes accurately and efficiently
- Ability to work independently in a remote setting while maintaining regular communication with colleagues
- Professional, reliable and responsive approach to work
Desirable
- Experience working in the non-profit, heritage, education, arts or cultural sectors
- Experience supporting committees, boards or advisory groups
- Familiarity with international or cross-cultural working environments
- Interest in heritage conservation, training and international development
- Experience supporting online events, workshops or training programmes
Contract details
- Location: Remote (UK-based only)
- Hours: Part-time, 2 to 3 days per week
- Duration: 12 months, with potential for renewal subject to satisfactory performance
